Passive Voice Basics: Form and Use

The passive voice changes the focus of a sentence. Active sentences normally focus on the person or thing doing the action. Passive sentences focus on the action, result or receiver of the action.

1. The basic passive pattern

The structure is be + past participle.

• Active: The team completed the report.
• Passive: The report was completed by the team.

The tense is carried by the verb be. The main verb stays in the past participle form.

2. Passive forms in common tenses

• Present Simple: The lessons are recorded.
• Past Simple: The email was sent yesterday.
• Present Perfect: The issue has been resolved.
• Future: The result will be announced tomorrow.
• Modal: The form must be completed before payment.

3. When the passive is useful

Use the passive when the doer is unknown, obvious, unimportant or intentionally not the focus.

• My bicycle was stolen last night. (we do not know who did it)
• English is spoken in many countries. (the speakers are not the focus)
• Your booking has been confirmed. (the result matters most)

4. Using by

Add by + doer only when the person or organisation is useful information.

The course was designed by an experienced tutor.

If the doer is obvious or irrelevant, leave it out: The payment was received.

5. Active or passive?

Passive voice is not automatically more professional. Clear business writing often prefers active voice when responsibility matters:

• Clear: Our support team will contact you tomorrow.
• Less direct: You will be contacted tomorrow.

Choose the form that gives the reader the most useful focus.

6. Common learner errors

• The report completed yesterday. → The report was completed yesterday.
• The email was send. → The email was sent.
• The lesson is teach by Anna. → The lesson is taught by Anna.
