HiLernity respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains what information may be collected when you use HiLernity, why that information is used, how it may be shared, and the choices that may be available to you.
HiLernity is operated by ТОО “Top Notch Agency LLP”.
1. Information we collect
The information we collect depends on how you use HiLernity. When you create an account, we may collect information such as your name, email address, country, account type, preferred language, password-related security information, and other details you choose to provide.
If you add a phone number to your account, the number is treated as private account information and is not intended to appear publicly on the platform.
2. Tutor application information
People who apply to become tutors may provide additional professional information, including teaching experience, languages, teaching specialities, education history, universities or institutions attended, qualifications, professional introductions, preferred lesson rates, profile photographs, certificates, diplomas, or other supporting documents.
Supporting documents submitted for review are treated as private application materials. Where a tutor is approved, selected professional information may appear on the tutor’s public profile. Private supporting files themselves are not intended to be published publicly.
3. Learner and parent information
Learners and parents may provide information required to create and manage accounts, bookings, lessons, and related educational services. Where a parent manages learning on behalf of a child, information about the learner may also be processed as reasonably necessary to provide the service.
We aim to collect only information reasonably necessary for account management, learning services, platform safety, and administration.
4. Account verification and security
HiLernity may use email verification to confirm ownership of an email address. Verification and password-reset links may contain temporary security tokens that are generated for authentication purposes and designed to expire after a limited period.
Passwords are handled through WordPress account-security mechanisms and are not displayed to HiLernity administrators in readable form.
5. Booking and lesson information
When you use booking features, we may process information relating to tutors, learners, lesson dates and times, lesson duration, booking status, packages or lesson credits, cancellations, and other information required to organise the service.
Information concerning tutor availability may also be stored so that learners can select appropriate lesson times.
6. Payments and transaction information
Where paid services are offered, payment processing may involve external payment providers. HiLernity may receive transaction-related information such as payment status, transaction references, amounts, fees, refunds, or other information needed for accounting, booking confirmation, fraud prevention, customer support, and tutor payments.
HiLernity does not need to store complete payment-card credentials when those details are processed directly by an authorised payment provider.
7. How we use personal information
We may use personal information to create and maintain accounts; verify email addresses; review tutor applications; display approved tutor profiles; process bookings; provide lessons and educational services; manage tutor availability; communicate with users; provide customer support; maintain platform security; prevent misuse or fraud; administer payments; improve HiLernity; comply with legal or accounting obligations; and protect the rights and safety of users and the platform.
We do not use private tutor application documents as public profile content unless information from them is separately approved for public display.
8. Public and private information
Some information is intentionally public. For an approved tutor, this may include the tutor’s name, profile photograph, teaching description, specialities, languages, experience, educational background, selected qualifications, lesson information, and other professional information intended to help learners choose a tutor.
Private information such as personal phone numbers, account email addresses where not intended for publication, verification information, passwords, private application documents, internal review information, and administrative records is not intended to appear publicly.
9. How we share information
We may share information with service providers that help us operate HiLernity, such as website hosting providers, email-delivery providers, payment processors, video-meeting services, security services, analytics providers, or other technical infrastructure providers. These providers may process information only to the extent reasonably required to provide their respective services.
We may also disclose information when reasonably necessary to comply with applicable law, respond to a lawful request, enforce our terms, investigate misuse or fraud, or protect the rights, safety, and security of HiLernity, our users, or others.
HiLernity does not sell personal information to advertisers.
10. Email communications
HiLernity may send transactional emails relating to account verification, password resets, tutor applications, approvals, bookings, account security, and other service-related matters. Service emails may be necessary for the operation of your account and are different from optional marketing communications.
11. Cookies and similar technologies
HiLernity may use cookies and similar technologies required for functions such as authentication, language preferences, security, session management, and website performance. Additional analytics or preference technologies may be introduced as the platform develops.
Where required by applicable law, appropriate notice or consent mechanisms should be provided before non-essential technologies are used.
12. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy. Retention periods may vary depending on the type of information, whether an account remains active, whether transactions or bookings have taken place, applicable accounting or legal obligations, fraud-prevention requirements, dispute handling, and legitimate operational needs.
Information may be securely deleted or anonymised when it is no longer reasonably required.
13. Your choices and rights
Depending on applicable law, you may have rights relating to personal information held about you, including the ability to request access, correction, deletion, restriction, or other appropriate action.
Some information may need to be retained where required for legal, accounting, fraud-prevention, security, dispute-resolution, or legitimate operational purposes.

14. Children and younger learners
HiLernity may provide educational services that are relevant to children and teenagers. Where a parent or guardian is responsible for managing a younger learner’s account or lessons, the parent or guardian should ensure that information is provided appropriately and that the learner uses HiLernity in accordance with applicable requirements.
Additional safeguards, parental-consent processes, or restrictions may apply depending on the learner’s age, location, and the services being used.
15. International services
HiLernity may be used by learners and tutors in different countries. This means information may be processed through service providers or technical infrastructure located outside the user’s country of residence.
Where required, reasonable safeguards should be used for international processing and transfers of personal information.
16. Security
We use reasonable technical and organisational measures intended to protect personal information from unauthorised access, misuse, alteration, loss, or disclosure. However, no internet-based service can guarantee absolute security.
Users are responsible for keeping account passwords confidential and should contact us promptly if they believe their account has been compromised.
17. Third-party services
HiLernity may contain links to or integrate with third-party services such as payment providers or video-meeting platforms. Those services operate under their own privacy practices and terms. We recommend reviewing the relevant policies before providing personal information directly to a third-party service.

We may update this Privacy Policy as HiLernity develops, new services are introduced, or legal and operational requirements change. When material changes are made, the revised date at the top of this page will be updated and additional notice may be provided where appropriate.
